Privacy Policy

This policy explains what we collect when you use wcloud.nz or work with us, why we collect it, and what you can ask us to do about it. It is written to be read, not to be got past.

Who we are

White Cloud is a trading name of GROOV Creator Limited, a New Zealand registered company based in Christchurch, Canterbury (NZBN 9429049024326). We design and build websites and run online advertising and email marketing for small businesses.

What we collect

When you fill in our enquiry form, we collect the name, email address, phone number and business details you type into it, along with anything you write in the message field. Nothing is required beyond your name, email and business type.

When you become a client, we collect whatever you send us to build your site — copy, photos, logos, and account access where you choose to give it.

We do not ask for or store payment card details. Invoices are paid by bank transfer directly to us.

Where your enquiry goes

The enquiry form is handled by Netlify Forms. Submissions are stored on Netlify’s servers, which are located in the United States, and a copy is emailed to us. That means your enquiry leaves New Zealand. Netlify is bound by its own privacy commitments, which you can read on netlify.com.

Our email is provided by a third-party mail provider, so anything you email us is also stored on their systems.

What third parties see when you visit

We do not run Google Analytics, Meta Pixel, or any advertising or behavioural tracking on this website. There is no cookie banner because we do not set tracking cookies. Two things are still worth telling you about:

• Google Fonts. Our pages load typefaces from Google’s servers, which means Google receives your IP address and browser information when a page loads.
• Cloudflare. Our site is served through Cloudflare, which sits between you and our host to keep the site fast and to block malicious traffic. Cloudflare sets its own functional cookies and logs request data such as IP address for that purpose.

We also use Google Search Console, which reports how our pages perform in Google search. It shows us aggregate figures like which search terms brought people to the site. It does not identify individual visitors to us and does not place anything on your device.

How we use what we collect

• To reply to your enquiry and talk through your project.
• To build, deliver and support the work you have asked for.
• To publish the details you want public — business name, contact details, services, photos — on your own website. You tell us what goes on, and we only put up what you have asked for.
• To invoice you, which means your business and contact details go onto invoices and into our accounting records.
• To send you things about your own project — drafts, questions, invoices.

We do not sell your information. We do not add you to a marketing list because you enquired. If we ever start a newsletter, it will be something you opt into deliberately.

How long we keep it

We keep only what you have given us. Enquiries that do not turn into work are kept while there is a reasonable chance of picking the conversation back up, and deleted after that. Client project material is kept while we are working with you and for a period afterwards so we can help if you come back — and because tax law requires us to keep business records for seven years.

If you want your material deleted sooner, ask us and we will do it, except where we are legally required to keep a record.

Your rights under the Privacy Act 2020

You can ask us to:

• Tell you what personal information we hold about you.
• Give you a copy of it.
• Correct anything that is wrong.
• Delete it, where we are not required to keep it.

Email [email protected] and we will respond within 20 working days, which is the timeframe the Act sets. There is no charge.

If you are not happy with how we have handled your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Our work and guides link out to client sites and other businesses. Once you follow a link you are on someone else’s site, under their privacy policy, not ours.

Changes

If this policy changes, the updated version goes on this page with a new date at the top. We will not quietly change what we do with information you have already given us.
